Showroom Concierges

Position Purpose:  Provides general office support with a variety of clerical activities and related tasks. The receptionist represents the CI Select brand and provides hospitable support to clients and employees of CI Select.

 

Functional Responsibilities:

  • Liaison for property management company; reports building/office problems, relays notices and information to employees from the property management company
  • Assists in ordering, receiving, stocking and distribution of office supplies.
  • Assist Accounting department by compiling and distributing the Monthly Backlog report.
  • Assists Accounting department by entering Account Payable invoices into the system and mailing checks.
  • Provide clerical support in other areas as needed.
  • Front desk:
    • greet visitors (vendors, customers, interviewees, etc...), announces their arrival for meetings, offers guests beverages, makes sure guests feel comfortable
    • professionally answers incoming phone calls, connects caller with the correct person, answers general questions about CI Select
    • Signs for packages being delivered, verifies document matches the delivery, put the packages in the appropriate place or contact the intended recipient they have received a package, keep the reception area clear of boxes to avoid clutter and messy appearance of the reception area
    • Sort incoming mail and place in addressees' mail box while being mindful of confidential or private material.
    • reserve conference rooms for meetings per employee requests
  • Company events, sales luncheons, company meetings:
    • Order food as instructed for company events, meetings and sales presentations while being mindful of cost and quality
    • Set up food, serving utensils, plates, silverware, etc.

 

Knowledge/Skills/Attributes/Behaviors Needed:

  • Excellent oral communication skills.
  • Possess exceptional interpersonal skills.
  • Able to work independently on assigned tasks with minimum direct supervision.
  • Able to work collectively with administrative team associates.
  • Knowledge of MS Office (Word, Excel, Outlook and PowerPoint)
  • Strong organizational skills and ability to mulit task.
  • Attention to detail.
  • Promote professional image and conduct.
  • Observes safety and security procedures, promotes safe work environment and the proper use of materials and equipment.
